Walk through beds, arrivals, census, and unfinished work with the incoming shift. Check off the topics below or print a copy to use with your current tools. Adapt the checklist to your approved procedures; it is an operational aid, not a complete safety or compliance protocol.

How to use the checklist

Review the current records before handoff, then walk through the open items together. Each checked box means the topic was reviewed, not that every task is finished. Record follow-up in your approved system with a responsible person and a clear next action.

A handoff that leads to action

A fictional example: “Room 2’s empty bed is still marked cleaning. Jordan will check it at 9 p.m. and update the bed status before the next placement.” Check the bed-readiness topic once staff have reviewed it; keep Jordan’s unfinished action in your approved task record.

Use your established direct communication and escalation process for urgent concerns. A checklist or saved note does not establish that someone has received an urgent message.

Keep the routine useful

After a few shifts, ask staff which questions repeatedly need clarification. Update the routine to address those gaps rather than adding every historical detail. Keep the current version accessible and remove outdated printed copies from circulation.

If the internet or your software is unavailable, use your facility-approved fallback and reconcile the operational records when service returns.
