Make your first copy
- Use the workbook to total the month, then transfer reviewed figures into the Word report.
- Add your shelter name and count definition. Rename narrative headings for your team or board.
- Keep coverage and turnaway definitions with the figures. Examples are fictional and stay separate.
Word and Excel files are editable and unlocked. PDFs are print copies. Save a master, then use a separate working copy.
Use the Excel workbook to review the month's aggregate counts, then explain the results in the Word report. Keep the reporting period, capacity, and count definitions consistent. Include missing coverage and operational changes alongside the totals, followed by a named owner and next action for each issue.
How to use it
- Enter daily aggregate counts in the workbook and choose the reporting month. Review completeness before copying results into the report.
- Show occupied and available bed-nights alongside the occupancy percentage. Describe capacity changes and any missing nights.
- Report admissions, departures, and turnaway attempts with their definitions. Do not label admissions or turnaway attempts as unique people.
- Add operational issues, a responsible person, and a due date. Review the report for resident-identifying detail before sharing it.

What the terms mean
- Unavailable bed-nights
- Out-of-service beds summed over the reporting nights. Holds are tracked separately.
- Turnaway attempt
- A recorded request for shelter that could not be accommodated. The same person may make multiple attempts.
- Operations report
- A management summary using local operating records. It is not a substitute for an official funder submission.
Adapt it to your shelter
Document your shelter's count time and turnaway recording rule. Use the official reporting definitions and required systems for funder or HMIS submissions. Do not infer housing outcomes from occupancy.
